Conferences and meetings can be useful business tools but are often viewed as unfortunate necessities. There are ways to make the most of them, however. Instead of being something people dread, they can actually become something to look forward to.

One of the most important things is to have a planned agenda and stick to it. Make sure everyone coming has the agenda ahead of time so that they can be prepared. You may even want to give them assignments so that they have to put some thought and energy into it.

It can be quite useful to have conferences take place in a location other than the regular workplace. Just by using a different location, employees can be made more attentive. It should be someplace set up properly for an event like this, with whatever amenities that are needed so people can work comfortably. If the conference will last more than a day, you might choose a location that's convenient but not so filled with temptations that people may slip out of the conference to go play.

Offering refreshments is also a good way to get people to engage more. It's especially good to supply coffee for morning meetings and some type of simple to eat food like danishes. When the event is catered, it seems like more of a perk to attend.

It's also helpful to have the ability to use multimedia for grabbing people's attention. Instead of just relying on speakers, you can mix in videos or slide shows so that it's more interesting. Using a guest speaker if appropriate is also useful, particularly if he or she has a good sense of humor.

Conferences and meetings, if done properly, can be something that employees actually look forward to. With some consideration ahead of time, such as picking the right location to have them, you can make your employees actually want to be invited to attend.
